The opportunity

Our Technical Training team is evolving to meet the needs of our growing business and we are expanding our presence in West Alexander, PA.

We are seeking a skilled Administrative Analyst who will provide daily support to the TC Energy Technical Training team. This position will provide ongoing administrative, coordination, and logistical support for the Technical Trainers as they travel and during on-site technical training functions. Our Technical Trainers deliver instructor-led technical training sessions, develop and maintain our technical training curriculum, create training materials, and facilitate hands-on learning.

The successful candidate must be an efficient time manager and a team player, capable of working with minimal supervision, who possesses strong customer service, organizational, and written and verbal communication skills.

What you ll do

  • Classify invoices and process for payment in SAP to include following up with accounts payable for payment/processing issues
  • Requisition material via Purchase Orders in SAP
  • Provide office administrative support, to include:
    processing FedEx shipments, ordering supplies, maintaining office/training room materials, safety related support, opening, sorting, and distributing incoming correspondence, answering incoming calls to the training facility, greeting employees and visitors, maintaining visitor log, managing mail, scanning and faxing, etc.
  • Maintain and update auditable facility/office records, environmental, and safety files
  • Operate office equipment, stock equipment supplies, liaison with various companies for maintenance, liaison support issues in the building for phones, Wi-Fi, network etc.
  • Perform monthly safety inspections of building, to include:
    first aid kits, fire extinguishers, AED s, and emergency lighting
  • Complete safety inspection work orders in SAP
  • Serve as Fleet Coordinator for Technical Training vehicles in Fleet/ARI database
  • Provide learning management system (LMS) reporting and data entry support, collaborate with the team for training needs assessments, ad hoc reporting and analysis
  • Schedule rooms for meetings/trainings at the center, arrange for and order lunches for training and meetings, set up and clean up, manage building/guest logistics
  • Assist trainers with training materials, manuals, and evaluations and support the trainers with updates to the training materials
  • Coordinate remote training logistics and collaborate with Administrative Analysts at other locations to ensure instructor and class needs are met, to include shipping and receiving class materials and equipment as needed
  • Serve as point of contact for trainers while traveling to address logistical needs
  • Set up scheduled offerings and outreach for the ILT needs training needs assessment and logistics support
  • Prepare meeting agendas and take meeting minutes as requested
  • Prepare documents, spreadsheets, and PowerPoint presentations for the Technical Training team
  • Other tasks as required

Minimum Qualifications

  • High school diploma or equivalent
  • Ability to prioritize work and manage multiple tasks simultaneously
  • Proven team player with the ability to work effectively in cross-functional teams and develop and maintain collaborative working relationships
  • Intermediate Microsoft Word, Excel, PowerPoint, and Outlook skills
  • Computer skills to include file management, accuracy in data entry, and basic troubleshooting skills
  • Ability to deal with change and adapt to new circumstances
  • Experience with a learning management system such as Workday or SuccessFactors LMS

Preferred Qualifications

  • Advanced degree in a training or communications related field of study
  • Advanced Microsoft Word, Excel, PowerPoint, and Outlook skills
  • 10 years in an office management and administration capacity
  • Experience in Learning & Development, Records Management, and Technical Training
  • Previous experience with field operations environments, preferably in oil and gas industry
  • Working knowledge of SAP

This position requires candidates to

  • Travel to other company locations for temporary assignments, meetings, or training which would involve some overnight stays away from home
